Delphi Coaching Ltd (company number 14644182, registered in England, trading as "We Are Delphi") is committed to protecting your privacy. This policy explains what personal data we collect, why we collect it, how we use it, and what rights you have over it, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are

We Are Delphi is a collective of coaches and therapists offering career, confidence, communication and public speaking coaching, and therapy, in London and online. For the purposes of data protection law, Delphi Coaching Ltd is the data controller.

2. What personal data we collect

Depending on how you interact with us, we may collect:

  • Contact details: name, email address, phone number
  • Booking and payment information
  • Information you provide during an enquiry, intro call, coaching or therapy session, including anything you choose to disclose about your circumstances, health, or personal life
  • Communications between you and us, by email, WhatsApp, or through our booking tools
  • Technical data such as IP address, browser type, and pages visited, collected via cookies and analytics tools when you use our website

3. How we use your data, and our lawful basis

We process personal data on the following legal bases:

  • Contract: to provide coaching or therapy services you've booked, manage appointments, and process payment
  • Legitimate interest: to respond to enquiries, improve our service, and maintain business records
  • Consent: for marketing communications and non-essential cookies, which you can withdraw at any time
  • Legal obligation: where we're required to disclose information by law, including in specific safeguarding situations, see our Terms & Conditions for more detail on confidentiality limits in therapy

4. Who we share your data with

We do not sell personal data. We may share it with third-party services that help us run our business, including our website and CRM platform (HubSpot), our booking and scheduling tool (Boomerang), email providers, and payment processors. These providers are only permitted to use your data to deliver services to us, not for their own purposes.

5. International transfers

Some of our third-party providers may store or process data outside the UK. Where this happens, we ensure appropriate safeguards are in place, such as the UK's International Data Transfer Agreement or adequacy regulations.

6. How long we keep your data

We keep personal data only as long as necessary for the purposes it was collected, typically for the duration of our working relationship plus a period afterwards to meet legal, accounting, or insurance requirements. Session notes and sensitive disclosures made during therapy are retained in line with professional body guidance and deleted securely once no longer required.

7. Cookies

Our website uses cookies to operate correctly and, where you consent, to understand how visitors use the site. You can control or disable cookies through your browser settings. Disabling some cookies may affect how the site functions.

8. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request deletion of your data, subject to legal retention requirements
  • Restrict or object to certain processing
  • Request a copy of your data in a portable format
  • Withdraw consent at any time, where consent is our basis for processing
  • Complain to us directly, see section 9 below, or to the Information Commissioner's Office (ICO) at ico.org.uk if you believe your data has been mishandled

9. How to complain to us directly

If you believe we've infringed data protection law in how we've handled your personal information, you can complain to us directly. Please email bex@wearedelphi.co with details of your complaint.

  • We will acknowledge your complaint within 30 days of receiving it
  • We will investigate without undue delay, making reasonable enquiries where needed
  • We will keep you informed of progress and let you know the outcome, along with any action we've taken
  • If you're not satisfied with our response, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk

This route is separate from, and in addition to, your right to complain directly to the ICO at any time.

10. Security

We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse.

11. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last revised. Continued use of our services after changes take effect means you accept the revised policy.
